Job description and what you’ll do:
ARI is growing and we’re looking for an Operations Assistant to support our Odon and Bloomington Offices. This person will report to the Operations Manager and will assist with many of the day-to-day responsibilities. ARI is looking for someone who takes initiative, helps where needed and likes to tackle a variety of tasks, since no two days will be the same. Your job will consist of typical administrative roles including event/meeting planning support, process administration and data management, calendar management, and monitoring supplies and purchasing. This position also provides room for growth so if there is a particular area you are interested in, training is available.
This person will be expected to commute regularly between and work from ARI’s offices located in Odon, Indiana and Bloomington, Indiana. This position may be up to 5 days/week in office, however, there will be some communicated opportunities to work from home when the schedule allows. Exact work location is negotiable for highly qualified candidates.
Key Responsibilities:
- Assist in the daily operations of ARI’s office locations, including scheduling meetings and maintaining calendars
- Monitor and order office supplies, ensuring proper stock levels.
- Coordinate with Events Manager to ensure spaces are prepared for scheduled and unscheduled meetings or events
- Communicate and coordinate with University and other stakeholder offices to schedule meeting space, shared resources
- Respond to internal and external inquiries, ensuring timely and professional communication
- Assist with employee expense reports
- Responsible for company credit card for approved business purchases
- Support onsite meetings and events
- Handle office deliveries and mailing of items
- Greet and assist visitors in a friendly and professional manner
- Other duties as assigned

- Experience working with a variety of office software products, including (but not limited to): Microsoft Office suite, database software (Smartsheet; Monday.com), communications/information management (Slack, Trello, etc.) and/or accounting systems (Deltek Costpoint).

Required Qualifications to Apply:
- United States Citizenship
- Proven experience as an administrative assistant or office administrative assistant, 1-2 years preferred.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and familiarity with office equipment.
- Excellent time management skills and the ability to prioritize work.
- Attention to detail and problem-solving skills.
- Exceptional communication skills, both written and verbal.
- Ability to obtain a DoD Secret level clearance or other government agency equivalent
- AS degree or relevant combination of experience and education

Job Type: Full-time
Salary: $45,000 – $55,000 annually
